Files and photos
If you need step-by-step instructions, see Working with files and photos. For the full list of limits, supported types, and permissions, see the Files reference.
UNIO24 lets you attach files and images to records. This is handy for keeping a contract and a photo next to an asset, or a snapshot of a fault next to a ticket. There are three kinds of attachments, and each behaves in its own way.
Kinds of attachments
Section titled “Kinds of attachments”- Attachments — any files: documents, spreadsheets, PDFs, images. They appear as a list on the Attachments tab of a record. Suitable for contracts, warranty cards, invoices, and manuals.
- Photos — images shown as a gallery. On an asset the gallery is visible right on the page, while for a work order, audit, and consumable it is on the Photos tab. In a gallery you can pick a main photo that represents the record.
- Avatars — a single portrait photo for an employee or a user. If no avatar is uploaded, initials on a colored background are shown.
Where files and photos are available
Section titled “Where files and photos are available”The set of tabs depends on the record type.
| Record | Attachments | Photo gallery | Avatar |
|---|---|---|---|
| Asset | yes | yes | — |
| Ticket | yes | — | — |
| Work order | yes | yes | — |
| Employee | yes | — | yes |
| Location | yes | — | — |
| Audit (inventory check) | — | yes | — |
| Consumables | — | yes | — |
| User profile | — | — | yes |
On an asset the photo gallery is shown right on its page; on a work order the Photos tab appears only when an asset is linked to the work order.
Viewing files
Section titled “Viewing files”A file from the Attachments list can be opened in a preview window without downloading. Images, PDFs, text, and CSV spreadsheets are supported, as well as Word and Excel documents. For types that cannot be shown, the message Preview is not available for this file type. and a download button are displayed. For the exact list, see the Files reference.
Photos from other records
Section titled “Photos from other records”An asset gallery shows both photos uploaded directly and snapshots taken in related processes — for example, in a work order or during an inventory check. Such photos are tagged From … with a link to the source record. You can set as main or delete only your “own” photos — those that belong to the record itself; others are view-only.
Limits
Section titled “Limits”The size of each file is limited, and a shared storage quota by plan applies to the whole company. If a file is larger than allowed, the system will not upload it and shows a warning. For the specific values, see the Files reference.
